Settle the details first
Confirm the birthday child’s name, date, full address, start and finish times, contact number and reply deadline. Wait until the venue and any booked show are confirmed. Use a complete date rather than “next Wednesday”. Short sentences work better than forced rhymes.
Example: a party at home
Come and dance with [name]! On [date], we are making a little dance floor at home. Join us from [start] to [finish] at [address]. Wear something comfortable. We will provide [food and drinks]. Please reply by [date] to [contact and number]. Collection: [arrangements].
Replace every bracket before sending. Make costumes optional: sparkles are welcome, ordinary clothes are too.
Example: a DiscoShow in a hall
[Name] is celebrating with a DiscoShow! Come to [venue and full address] on [date]. Arrival is from [time]; collection is at [time] by [entrance]. There will be [food and drinks]. Please reply by [date] to [number]. Parents can contact us directly about anything we should know.
Name the entrance if the building has several doors. Allow setup time before guests arrive.
Example: a short digital message
Party time with [name]! 🎵 Join us on [date], [start] to [finish], at [address]. A meal [is/is not] included. Collection is at [place]. Please reply by [date]. From [parent’s name and number].
When something changes, send a complete updated message. “An hour later” does not explain whether the start, finish or both have changed.
Five details worth spelling out
Say whether parents stay, whether a meal is provided, which clothing is useful, how to share practical needs privately and whether guests are collected or taken home. Avoid sharing another child’s personal information in a group chat.
Still planning? Use the home disco timetable. For guided entertainment, explore a birthday DiscoShow and discuss the date and venue with Kinderdisco.nl. Then send the invitation with the arrangements complete.
An invitation to a school disco
Time for music at [school name]! On [date], we are holding a school disco for [classes]. Children arrive at [entrance and address] at [start time]. Collection is at [finish time] from [place]. We will provide [food and drinks]. Sign up by [date] through [contact]. Questions or individual requirements? Contact [name and number] directly.
Running separate sessions? Give each class its own start and finish times. Explain whether parents stay and who supervises under the school’s arrangements. State any participation charge clearly. Use the school-disco planning guide for the organisation.
A card or WhatsApp: what goes where?
On a card, put the fixed details on short lines: date, times, address and contact number. Leave room for the guest’s name. A card saying only “more details later” makes planning difficult.
For WhatsApp, use the short digital example above. Send the full invitation in one message so parents can find it again. Ask for allergies or individual requirements privately, not in a group chat. If the address or times change, resend all final details.
Before sending, check that the venue and any show are confirmed. Your invitation is for guests; it does not reserve a DJ or date with Kinderdisco.nl.
